Our export process
Exporting food products across borders depends on many people doing the right thing at the right time. We run every order through the same 11 documented stages, so nothing depends on memory or goodwill. Here is what we do at each stage, and what it means for you.
Your enquiry
What we do
We review your enquiry and verify your company details.
What it means for you
A prompt, professional response from a team that takes your business seriously.
Specifications and requirements
What we do
We agree variety, grade, tolerances (moisture, broken grains, impurities, defects), packaging, labelling and destination rules, and record them in a specification sheet.
What it means for you
You approve exactly what you will receive before anything is sourced.
Supplier verification and sourcing
What we do
We source from farmers, mills, processors and farmer producer organisations whose registration, licences, facilities, capacity and quality controls we have checked.
What it means for you
Reliable supply from verified sources, with fewer surprises.
Samples, photographs and quality assessment
What we do
We share actual photographs of your product, its grading and its packing, recorded with supplier, date and batch, and assess samples against your specification.
What it means for you
You see the real product, not a stock image, before you commit.
Quotation, Incoterms and proforma invoice
What we do
We calculate the full cost, including inspection, packing, inland transport, documentation, freight and insurance where applicable, and issue a proforma invoice.
What it means for you
Transparent pricing and clear terms, with no hidden costs later.
Approval and payment confirmation
What we do
You approve the proforma invoice in writing and we confirm the order through a sales contract and the agreed payment terms.
What it means for you
Clear commitments on both sides before production starts.
Procurement, grading, inspection and packing
What we do
We place purchase orders with approved suppliers, assign a unique number to each procurement lot, and grade, inspect, pack and label against your specification.
What it means for you
Consistent quality, and every bag traceable to its source.
Export documentation and customs clearance
What we do
We prepare the commercial invoice, packing list and certificates your destination requires, and complete customs clearance with our customs broker.
What it means for you
Correct paperwork, so your cargo clears without delays.
Freight booking and shipment
What we do
We compare forwarders on cost and schedule, book freight suited to your product, and share shipping documents and tracking information.
What it means for you
On-time dispatch and visibility until arrival.
Delivery and your feedback
What we do
We confirm delivery and ask for your feedback on quality, packing, delivery and documents.
What it means for you
Issues are recorded and resolved, not forgotten.
Repeat orders and long-term supply
What we do
We use what we learn to plan repeat orders and long-term supply agreements.
What it means for you
A dependable supplier that gets better with every order.
Documents you receive
We manage 15 controlled export documents across every order. These are the ones you receive:
- Product specification sheet and grading checklist
- Product and packing photographs
- Laboratory test report, certificate of analysis or independent inspection certificate, as applicable
- Proforma invoice and export sales contract
- Commercial invoice and packing list
- Shipping bill, bill of lading or air waybill, and the certificates your destination requires
- Shipment tracking updates
Testing that fits your product and destination
Testing requirements differ by product, destination and buyer. Independent inspection, laboratory testing and phytosanitary certification serve different purposes and are not interchangeable. We identify what your order needs, arrange representative sampling with a documented chain of custody, and share the results with you before dispatch.
Start with a trial shipment
If you are new to us, you can start with a small trial order. It lets you check our product, packing, documentation and delivery before committing to regular volumes. After delivery we collect your feedback and agree the terms for repeat supply.
